Declaration Executive (Import Division)
Job Description
Responsibilities
- Manage, guide, and monitor the team in job declarations to ensure accuracy and timely completion.
- Coordinate daily shipments – both international and domestic – and transport arrangement (LCL).
- Prepare and process customs documentation such as K1, K2, K3, K8, K9 and ZB1 & ZB2.
- Handle shipping documents like Certificates of Origin, Exemptions and Permits.
- Liaise with key government bodies including MAQIS, KLIM, MTIB, MIDA, MITI, CIDB, SIRIM and others for regulatory approvals.
- Submit import/export declarations and assist with resolving customs queries.
- Verify and check disbursement invoice from service providers for accuracy.
- Support customers with timely updates and provide professional support for inquires or issues.
- Ensure accuracy in billing, documentation and filling.
- Support clerical and administrative task and assist with any ad-hoc.
Requirements
- Must possess at least SPM or above.
- At least 5 years of experience in logistics, freight forwarding, customs clearance, or import/export operations.
- Experience in handling import/export documentation such as K1, K2, K3, K8, ZB1, ZB2, and permit applications.
- Proficient in logistics management systems.
- Excellent communication skills to liaise with customers, shipping lines, and government agencies.
- Strong problem-solving skills to handle shipment issues and customs clearance challenges.
- Ability to work under tight deadlines and manage multiple tasks efficiently.
- Attention to detail to ensure accuracy in declarations and compliance with regulations.
- Proficiency in Microsoft Office (Excel, Word, Outlook) and ability to generate reports.

- Coordinate with shipping lines, carriers, and port authorities to gather accurate and up-to-date information on container status.
- Review and analyze shipping documentation to identify demurrage and detention charges.
- Inform customers and the haulage team in advance about upcoming container arrivals, providing pre-alerts to ensure smooth operations.
- Plan and coordinate the delivery of containers to customers, taking into account their requirements and ensuring timely delivery.
- Update customers regularly on the progress of their shipments, providing accurate and timely information.
- Investigate and verify the reasons behind any additional costs incurred due to storage and demurrage charges.
- Collaborate with internal teams, including operations, customer service, and finance, to resolve any issues related to container movements and additional costs.
- Maintain accurate records and documentation related to container monitoring, demurrage, and detention charges.
- This position requires the ability to monitor container movements after office hours and on weekends.

Qualifications
